42nd Annual Conference: Exhibitor Information

The Society for American Music invites you to exhibit at our upcoming conference to be held at the Hyatt Regency Cambridge, 9-14 March 2016. Those who attend our conference have many interests in American music, but they teach and perform in all areas of music and are always interested in new publications of scholarly works, textbooks, scores, and recordings. Many make library selections for their universities. With reduced travel funds at colleges and universities, faculty travel is often limited to one conference each year. We look forward to providing our attendees with a comprehensive display of the most recent books, periodicals, sound recordings, videos, software, CD-ROMs, and musical instruments.

Note: Publishers who are unable to attend, but wish to have their titles exhibited should contact The Scholar's Choice. They have provided a combined book exhibit at our conferences for many years and are familiar with our discipline and conference attendees. If you only have one or a few titles, they can generate sales and will also take orders. Contact Mary Lynn Howe by email or phone (585-262-2048 x.111).  

Exhibiting at the Conference  

The exhibit area will be in the President's Ballroom, Salon AB. The exhibits will be open Thursday morning through Saturday late afternoon. It is staffed at all times, and free coffee is provided. The Exhibit Room is where attendees congregate and network, thus providing maximum exposure for exhibitors. (Download the floor plan

Rates: $225.00 for the first table; $125.00 for each additional table.

All exhibitors will receive a listing on the Society's web site, a listing in the printed program, and one complementary registration to the conference. Internet connections and electrical service can be obtained directly from the hotel. Contact information will be provided upon receipt of completed reservation form.

SHIPMENTS WILL NOT BE ACCEPTED AT THE HOTEL UNTIL 3 DAYS PRIOR TO THE CONFERENCE.

Advertising in the Conference App and Program

We also welcome advertising in our conference program book. (View PDF of last year's conference program book)

Two types of advertising for the mobile application are available:  

  1. Main Page Icon $200  -  a permanent icon on the app's main menu that can link to a list of products, offers, booth information, and more. Clicking on the main page icon leads users to a page within the app that contains as many (or as few) links to web pages as you wish. Please include your corporate logo, short description, and one or more website URLs / links.

  2. Banner Ad ($100; Complimentary for Affiliate Members) - an interactive banner located at the bottom of the main menu screen that cycles among advertisers. The ad displays for five seconds each time it is called. Please provide a banner image (size 600 x 110 pixels) and URL.

Deadline for receipt of images is December 1, 2015.
